Managed teams

Six departments. One accountable team.

For the work you want off your desk. We hire the team, set up how the work runs, and stay on the hook for what it produces. Here is where we run today.

Client Services and Support

Covers
Answering your phones, replying to customer emails and chat, and the front desk work that interrupts your day.
A typical week
Every call answered in the hours you set, customers replied to the same day, anything urgent sent to you with the details.
Instead of
Calls going to voicemail while you are with a customer, or you answering emails at 9pm.

A good first brief Most owners start with one person on the phones during the busiest window, then extend to full business hours once the standard is holding.

Answering service by industry

Finance and Accounting

Covers
Bookkeeping, invoicing, paying the bills, chasing what you are owed and reconciling the accounts, in QuickBooks or whatever you already use.
A typical week
Invoices out on time and followed up, bills coded and paid on schedule, books current instead of a quarter behind at tax time.
Instead of
Doing the books on Sunday night, or a part time bookkeeper whose work you still have to check.

A good first brief A common first job is owning payables and receivables end to end, with you or your CPA keeping approval and review.

Bookkeeping by industry

Executive and Administrative Support

Covers
Your inbox, your calendar, travel, follow-ups and the admin that eats the first two hours of every day.
A typical week
A calendar that holds, an inbox cleared every day, follow-ups sent before you remember them.
Instead of
Running your own schedule between jobs, or a full time hire you do not have enough admin to fill.

A good first brief Usually one person per owner or executive, starting with the inbox and calendar and taking on more as trust builds.

Operations and Back Office

Covers
Order entry, data entry, scheduling and dispatch, vendor follow-up, and the paperwork behind every job.
A typical week
Orders entered the same day, records accurate, problems flagged before a customer calls about them.
Instead of
Back office work landing on whoever is free that day, which is usually you.

A good first brief Start with the one process that breaks most often when you get busy, then take on the steps around it.

Sales and Revenue Support

Covers
Calling new leads back, qualifying them, keeping your CRM clean and booking appointments for you or your closers.
A typical week
Every lead called back the same day, the pipeline up to date, calendars filled with real conversations.
Instead of
Leads going cold because nobody called them back, or closers doing their own admin.

A good first brief Often starts with lead follow-up and CRM cleanup, since both show results within two weeks.

Marketing and Content Operations

Covers
Writing and scheduling posts, building and sending emails, and reporting on what brought in business.
A typical week
Posts out on schedule, emails built and sent, one report showing what worked.
Instead of
A marketing plan that slips every month because nobody owns the doing.

A good first brief Typically production and scheduling first, so you decide what to say and the team gets it out.

Need something that is not on this list? Tell us the work and we will show you what the team looks like.

Describe the work

Would rather hire for the role yourself? We also recruit direct hires in the Philippines, for the roles you want on your own payroll.

How direct hire works
A team lead talks through the start of the shift with three colleagues at a tall table on a quiet operations floor

Want to see it with your own work in it?

Send us the work and how much of it there is. We will come back with the team that handles it, what it costs, and what your first weekly report would show.

The shift

From holding it together to running ahead.

Where most teams are

  • Calls go to voicemail when you are busy, and work piles up
  • Every growth step starts with another job ad
  • Quality depends on who happens to be in that day
  • You are the only one who knows how everything works

Where Velorus puts you

  • A managed team gets the work done on schedule
  • More help in weeks, from people already screened and trained
  • A written standard and a weekly quality review
  • One report a week showing what happened and what is next

The model

How a managed team is built.

For work you want handled rather than staffed, we hire the team, set up how the work runs, and stay accountable for how it performs. It behaves like your own department, without you running it.

  1. What you deal with

    A managed team

One named manager owns the output, runs the weekly quality review, and picks up the phone when something changes.

  2. Who does the work

    Vetted specialists

Picked for the role you actually need, then trained on your software, your customers and your standard before day one.

  3. How it runs

    AI-assisted workflow

The repetitive steps are automated where it makes sense, so trained people spend their hours on the parts that need judgment.

  4. What it stands on

    A bench, already vetted

More help comes from people who have already been screened and trained, which is why it takes weeks instead of months.

Four layers, one team, one person accountable for the result.

How it works

Three steps. About four weeks.

One call

Tell us the work

The phones, the books, the inbox, the follow-ups. How much of it there is, what software you use, and what done looks like. We come back with the team that handles it.

About three weeks

We build the team

We pick the people, train them on your software and your way of doing things, and set up the reporting and the standard the work is checked against.

From week four

They run it

Your team works in your software, on your hours, under a Velorus manager. You get the work done and a weekly report.

What you get

Delivery you can set your watch by.

The difference between a team you hired and a team that runs is the rhythm around it. Here is what arrives, and when.

Every shift

The work is covered

Your phones, books or inbox handled to the standard we agreed, by the same people, in your software.

Every week

A performance report

Output, quality scores against that standard, and anything that needs a decision from you. One page.

Every month

A working review

What changed, what to adjust in how the work runs, and what the team should take on next.

On request

More capacity

Add a specialist or a whole team, without writing another job ad.

The 90 day managed team guarantee

If a specialist on a managed team is not performing against the standard we agreed at scoping, we replace them within 10 business days, at no cost to you.

If we cannot replace them

If we cannot put a performing replacement in place inside that window, we credit you for the affected time. The risk sits with us, not with your operation.

Measured against what

The standard is written down at scoping and signed off before anyone starts, so performance is a documented fact rather than a matter of opinion.

Questions

What owners ask us first.

How is this different from hiring someone myself, or using a staffing agency?

When you hire, the managing is yours from day one: training, checking, covering, replacing. A staffing agency hands you a person, and the managing is still yours. With a managed team, Velorus does the managing. A named manager owns the output, the standard is written before anyone starts, you get a weekly report, and the guarantee sits with us. If you would rather own the role yourself, we recruit the direct hire instead.

Are they my employees? Who pays them?

No. The team works for Velorus and we pay them. You pay Velorus one flat monthly fee per specialist and get one invoice. There is nothing to add to your payroll and no timesheets to check.

Where is the team based, and will they work my hours?

Our specialists are based in the Philippines and work US business hours, whether that is Eastern, Central, Mountain or Pacific. The hours are agreed at scoping and written into the standard, including evenings or weekends if that is when your work comes in.

Will they work in my software?

Yes. The team works in the software you already use, with the logins you provide: your phone system, your accounting software, your CRM, your scheduling tool. Nothing has to move.

What happens if someone on the team is not working out?

Tell your manager. If the specialist is not performing against the agreed standard, we replace them within 10 business days at no cost to you. If we cannot place a performing replacement in that window, we credit you for the affected time.

Who is accountable for quality?

We are. Every team has one named manager who owns the output, runs the weekly quality review against your written standard, and is the person you call when something changes. Quality is not split between you and a contractor.

How fast can a team start?

Most teams are live in about four weeks. Week one is scoping: the work, how much of it there is, your software, and what counts as done. Weeks two and three are selection and training. By week four the team is working your phones, your books or your inbox, and your first weekly report lands.

Can you find someone for my own payroll instead?

Yes. For a role you want in house, we agree the brief with you, source and screen candidates in the Philippines, and bring you a short list. You interview, choose and make the offer.

Which department needs the help?

Tell us the work and how much of it there is. We will come back with the team that handles it and what the first month looks like.
